About the role

These responsibilities may include but are not limited to: Administrative Support: Assist in preparing and distributing internal communications, memos, and reports as needed. Maintain electronic and hard copy filing systems, ensuring all documentation is organized and easily accessible. Manage office supplies inventory, order replenishments, and always ensure proper stocking levels. Oversee the maintenance of office equipment and liaise with vendors for repairs and servicing as required. Coordinate travel arrangements and accommodations for staffs/ clients, including booking flights, hotels, and transportation. Schedule appointments, meetings, and conference rooms, coordinating with internal staff and external clients as needed. Assist with mail distribution, sorting incoming mail/ parcel and preparing outgoing mail/ parcel for shipment. Coordinate the ordering and distribution of name cards for employees. Assist in planning and organizing office events, such as social gatherings, including coordinating catering, venue bookings, and logistics. Assist in preparing employee welfare arrangements. Provide comprehensive administrative support to different departments as assigned including finance, human resources& etc. Assist with data entry, preparing, sorting, classifying, filing, and maintaining records as needed, ensuring date accuracy, integrity and confidentiality. Assist in the creation and maintenance of employee files, ensuring compliance with company policies and regulatory requirements. Other ad hoc duties as assigned by Superior. Office Receptionist: Greet visitors, clients, and employees with a warm and welcoming attitude. Respond to telephone or electronic enquiries or forwarding to appropriate person and take accurate messages when necessary. Handle correspondence, including emails, phone calls, and other communications. Maintain a clean and organized reception area, ensuring it always reflects a professional image. Other ad hoc duties assigned by Superior.
