Career Planning Service The Career Planning Service (CaPS) supports student career and leadership development through career counselling and advising, skills development workshops, experiential learning, career exploration programs, mentoring, and career and networking events. CaPS provides and oversees a wide variety of resources and tools to help students and new graduates search for part-time and summer jobs, internships and post-graduation opportunities, including the myFuture platform, and the Student Experience Record, with the goal of helping students become career-ready now and for their future. Position Summary : Reporting to the Director, the Industry Liaison Associate at McGill Career Planning Service (CaPS), provides advanced administrative and operational support for employer recruitment activities, with a primary focus on the effective use and support of the myFuture career management tools. This position supports employer engagement, on-campus recruitment, and recruitment communications by coordinating processes, ensuring data quality, responding to complex inquiries, and delivering clear, consistent information to employers, students, and colleagues. Primary Responsibilities: myFuture Support & Administration (Employers and Students) Provide advanced, routine and non‑routine support to employers and students using myFuture, including assistance with employer registration, job postings, event setup, applications, interviews, schedules, and system‑generated communications. Act as a key contact for employer inquiries related to myFuture functionality, recruitment timelines, and job posting policies. Guide employers on effective and compliant use of myFuture tools to maximize visibility and student engagement. Support students with myFuture‑related inquiries related to job postings, recruitment events, interview scheduling, and employer communications. Review, assess, and validate employer registrations, job postings, and events in myFuture, including verification of legitimacy, completeness, and compliance; follow established procedures to resolve or escalate concerns, e.g. employment scams, unauthorized use of IT credentials Identify recurring system or user issues and contribute to the development of user guides, templates, FAQs, and standard communications. Employer Recruitment & Coordination Serve as a primary administrative contact for employers recruiting McGill students and graduates, providing accurate information, coordinating communications and meetings, and supporting myFuture usage and event participation. Provide standard guidance on internships, recruitment policies, timelines, and salary resources, referring complex cases as needed. Receive, document, and follow up on employer and student concerns or complaints related to recruitment activities, in accordance with established procedures. Collaborate with Industry Liaison Associates, Career Advisors, and other Faculty career offices to support employer engagement and recruitment initiatives. On-Campus Recruitment & Events Coordinate all administrative aspects of on‑campus recruitment (OCR) using myFuture, including posting visibility, scheduling, interview coordination, and communications. Prepare and distribute interview schedules and candidate lists, ensuring all selected students are scheduled appropriately and updates are managed in real time. Serve as the primary administrative contact for employers during recruitment, including hosting and troubleshooting on‑site or virtual issues. Liaise with McGill career offices to coordinate OCR activities, interview space, and scheduling. Manage employer events (information sessions, career fairs, and related activities) in myFuture, including event setup, employer registration approval, and responding to inquiries. Coordinate event logistics, including room bookings, virtual platforms, employer hosting, invoicing support, and on‑site troubleshooting. Compile and review employer background information for recruitment materials, ensuring accuracy prior to publication. Communications & Content Support Draft, adapt, and distribute recruitment‑related communications to employers and students, with particular emphasis on myFuture processes, deadlines, and requirements.
