Marketing Operations Executive

Responsibilities

• Marketing Administration & DataControl
• POS System Ownership: Take full charge of data entry into the NEC POS system for brand listings, price mechanics, and promotions. Ensure 100% price accuracy before any campaign goes live.
• Shared Drive Management: Maintain a perfectly organised digital filing system (Folders 01A, 01B, 01C). Ensure all current campaign artwork, templates, and visual briefs are easy to find.
• Claims & Invoice Tracking: Collect, check, and compile all marketing invoices, vendor claims, and paperwork forCAG-driven events so they are error-free before manager approval.
• Pop-Up Scheduling: Manage the booking calendar and operational schedules for brand pop-up spaces across all airport outlets.
• Campaign Coordination & Shop FloorSupport
• Timeline Tracking: Maintain the master marketing calendar. Track all upcoming campaign deadlines independently and flag them to management early.
• Display Compliance Checks: Distribute PowerPoint planograms to store managers and check the shop floor to ensure physical displays and posters match the visual briefs exactly.
• In-Store Media Management: Monitor the condition of physical posters, digital screens, and shelf-talkers in-store, coordinating quick updates or replacements if they are damaged or outdated.
• Permit Routing Coordination: Route necessary airport permit forms to the respective internal teams for completion, and coordinate with HR for final submission and settlement.
• Data Compilation & EmailCommunications
• Report Preparation: Gather raw data (sales numbers, traffic, promo redemptions) and compile them into clear, structured weekly and monthly updates.
• Promotional Information Deployment: Package and blast out campaign guidelines, promotional pricing mechanics and marketing updates to store teams via email
• Administrative Support: Assist the Marketing Manager by drafting routine email follow-ups or organizing administrative requests as directed.
• Key Requirements & Qualifications
• High Attention to Detail: A natural ability to spot errors in text, pricing numbers, deadlines, or file versions before things go live.
• Strong Follow-Through: A disciplined, independent work ethic. You finish what you start and provide regular progress updates without needing to be chased.
• Highly Organised: Strong structural thinking with hands-on experience managing shared drives, databases, or complex tracking sheets.
• Excellent Email Etiquette: Able to communicate instructions and follow up on requests via email clearly, politely, and concisely.
• Technical Skills: Strong proficiency in Microsoft Office-specifically Excel for data tracking and PowerPoint for managing display templates.
• Experience & Background: Diploma orDegree in Business Administration, Operations, Retail Management, or a related field. 1-3 years of experience in an Admin Assistant, Sales Coordinator, or Operations Admin role is preferred. Fresh graduates with highly organised portfolios are welcome to apply.
