RMIT Vietnam is seeking a contingent worker for the Project Support Assistant role. POSITION SUMMARY The Project Support Assistant will support the Office of the Dean of Students (ODS) and the Students & Education Portfolio (SEP) in coordinating and delivering projects, events, and portfolio initiatives. This role focuses mainly on operational and administrative support, stakeholder coordination, vendor liaison, documentation management, and onsite execution support. The successful candidate will work closely with internal teams and external vendors to help ensure projects run smoothly and efficiently. Some flexibility in working hours may be required during project delivery periods. Reports to: Senior Events & Projects Coordinator, Office of the Dean of Students Key Accountabilities Project Operations & Administration Support the coordination and day-to-day operations of portfolio initiatives and projects. Source vendors and request quotations for goods and services. Liaise with vendors regarding requirements, timelines, quotations, contracts, invoicing, and payment processes. Maintain and update operational documents including budgets, proposals, checklists, trackers, filing systems, and indexing support for an upcoming publication. Support procurement and administrative processes related to project delivery. Stakeholder & Meeting Coordination Coordinate with internal stakeholders including Communications, Facilities, Security, and other support teams. Assist with operational requests, compliance forms, and internal approvals. Attend meetings, take meeting minutes, distribute notes, and follow up on action items. Maintain clear and professional communication with internal and external stakeholders. Communications & Creative Support Assist with copywriting for project communications and engagement activities. Support the creation of simple visual assets and presentation materials using RMIT templates and brand guidelines. Assist with communications and engagement activities across online and offline channels. Event & Initiative Support Assist with planning and preparation for initiatives, activations, and events. Support onsite execution including setup, registration support, troubleshooting, site checks, and pack-down. Provide general operational support during project delivery. Key Selection Criteria Strong organisational skills and attention to detail. Excellent communication and interpersonal skills in English and Vietnamese. Ability to manage multiple tasks and follow operational processes. Proactive, responsible, and able to work collaboratively in a team environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Basic design skills using Canva, Adobe Creative Suite, or similar tools are desirable. Experience in administration, events, communications, or project coordination is advantageous.
