Grade 3 (Hourly) Position Description: The Campus Health Services department with the Division of Student Affairs at the University of Louisville is seeking to hire a Clinic Care Coordinator III. The Coordinator performs clinic front office administrative duties such as scheduling appointments, facilitating office flow, creating fee tickets, taking phone messages, and preparing patient charts. The Coordinator also assists the back-office staff to coordinate referrals, book outside appointments, perform KASPER reports, and request patient assistance and prior authorizations. This position sets the tone for the clinic by establishing and maintaining the highest standards of customer service, patient privacy, and professionalism. Essential Duties and Responsibilities Schedules patient appointments with a sensitivity to HIPAA and FERPA confidentiality and coordinates new student-patient intakes including occupational health clients Assists with immunization compliance by reviewing and entering data to facilitate reporting and data archiving Assists with OSHA-mandated N95 respirator testing for health science professional students Assists with daily review of billing charges on fee tickets to ensure accuracy and completeness Prepares clinic for daily patient demand including ensuring that student-patient charts and records are complete, verifying insurance eligibility, verifying applicable fees, and identifying any missing items Assists with running daily KASPER reports for providers to prevent over-prescribing of controlled substances for student patients Facilitates office flow guided by patient demand and provider availability Facilitates clinic communication; takes calls, answers general clinic questions, and forwards messages from student-clients to medical providers accordingly Assists back-office staff by coordinating referrals and booking outside appointments Establishes, models, and maintains the highest standards of customer service, patient privacy, and professionalism Completes other duties as assigned
