What you'll do Finance & accounting support Process vendor invoices through SAP Concur in line with company policy and deadlines Review and manage employee expense reports, ensuring full compliance with internal procedures Collaborate closely with accounting, payroll providers, and auditors to support compliance and financial accuracy HR & people support Act as a reliable support for the HR department across a wide range of operational and people-related matters Vendor & communication management Build effective relationships with vendors and service providers to ensure high-quality, cost-efficient services Oversee internal and external communication to uphold the company's professional image Office & administrative management Manage incoming and outgoing correspondence with accuracy and discretion Ensure smooth document flow between departments and timely execution of internal processes Maintain a well-organized, efficient, and welcoming office environment Manage procurement of office supplies and oversee inventory, including regular physical audits and record-keeping Executive support & guest relations Organize calendars, schedule appointments, and coordinate meetings and conferences end to end Serve as the first point of contact - welcoming clients and guests, answering and directing calls Plan and coordinate business travel (flights, accommodation, itineraries) Contribute to cross-functional projects and company-wide initiatives Fluent German (C1 minimum), written and spoken - this is essential Fluent English, written and spoken 3+ years of experience in a comparable administrative or operational role Hands-on experience supporting accounting/invoicing processes (experience with SAP Concur or a similar tool is a strong plus) Bachelor's degree preferred (Business Administration, Management, or related field) Confident with MS Office and electronic document management systems Strong organizational and time-management skills; able to juggle multiple priorities in a fast-paced environment High attention to detail and accuracy A proactive, solution-oriented team player who can work independently and is genuinely eager to learn and grow Modern, fully equipped office - a comfortable and inspiring workspace in a central Berlin location Competitive salary - motivating and aligned with local market standards Contract structure- a fixed-term employment contract with Freedom Finance Germany GmbH for an initial period of one (1) year, with the possibility of extension for a further year subject to mutual agreement and satisfactory performance.
