What You Can Expect The Associate Workplace Specialist supports the Facility Manager in the day-to-day operation of the site, ensuring workplace services run smoothly and efficiently. This role focuses on coordinating vendors, managing documentation and work orders, and supporting compliance and hospitality services. While primarily administrative, the role may occasionally involve light hands-on support for basic maintenance tasks. Coordinate preventive and corrective maintenance for MEP systems and building infrastructure. Serve as point of contact with contractors and vendors for building and equipment repairs. Track and update work orders through systems such as Planon, ServiceNow, and Agile. Maintain documentation such as floor plans, space usage, and equipment inventories. Monitor energy and water usage and escalate anomalies. Provide light support with small maintenance activities (e.g., furniture moves, meeting room set-ups). Support janitorial routines and ensure cleaning standards are met. Monitor waste separation and recycling compliance. Assist in managing cafeteria services, break area supplies, and inter-office deliveries. Coordinate seating plans and ensure workspace readiness. Provide logistics support for site visits, events, and corporate guests. Manage vendor onboarding, PR/PO issuance, invoicing, and payment documentation. Assist in EHS inspections, audits, and compliance checks. Ensure vendors and workplace practices comply with company and regulatory standards.
