Responsibilities

  • Manage daily facilities operations across multiple sites, ensuring compliance with all statutory, safety, and operational regulations.
  • Work closely with contractors and vendors on maintenance, repairs, and service delivery standards.
  • Support budget planning, outsourcing exercises, tender processes, and contract awards.
  • Develop, monitor, and review service KPIs to drive contractor accountability and performance.
  • Ensure preventive maintenance, corrective maintenance, and ad-hoc works are completed to required standards.
  • Conduct regular site inspections and vendor performance reviews to identify improvement opportunities.
  • Gather user requirements for facilities enhancement works and ensure timely delivery within approved budget.
  • Support the maintenance and servicing of biomedical, physiotherapy, dental, and clinical equipment.
  • Coordinate repair schedules, preventive maintenance, and vendor servicing activities.
  • Manage renewals of equipment licences, certifications, and regulatory compliance requirements.
  • Coordinate project activities, meetings, and progress tracking for upgrading, renovation, and new works.
  • Prepare project proposals, budgets, cost estimates, and approval papers.
  • Ensure renovation and improvement works are completed on time, within budget, and with minimal operational disruption.
  • Maintain project documentation including SOPs, drawings, schedules, databases, and status reports.
  • Process claims, invoices, and payment documentation while liaising with finance, consultants, and contractors.
  • Prepare budget utilisation reports, evaluation papers, progress reports, and management presentations.
  • Interpret plans, specifications, and contract terms for stakeholders, consultants, and vendors.
  • Support quotation / tender / RFP exercises, evaluation, and award recommendations.
  • Monitor project risks and ensure mitigation plans are in place to protect ongoing business operations.
  • Coordinate operational readiness across pre-construction, construction, handover, and post-completion phases.

Requirements

  • Min. Degree in Architecture, Building Management, Facilities Management, Engineering (Civil / Structural / Mechanical / Electrical), Building Science, or related discipline.
  • Minimum 0-3 years of relevant experience in facilities operations, building management, project coordination, or infrastructure support.
  • Familiarity with AutoCAD, Microsoft Office, and project management software is advantageous.
  • Knowledge of Workplace Safety & Health (WSH) requirements preferred.
  • Strong communication, stakeholder management, and interpersonal skills.
  • Able to manage multiple priorities in a fast-paced environment.
  • Independent, organised, and detail-oriented with strong follow-through.
