About the role
Reporting directly to the VP, Quality & Compliance, the Licensing Coordinator provides licensing and regulatory support for all licensed retail stores.
Responsibilities
- Administer and maintain all liquor and cannabis retail licences across applicable jurisdictions, ensuring timely renewals and continuous compliance with provincial regulatory requirements
- Prepare, coordinate, and submit licence applications for new store openings, supporting new store development timelines and deliverables
- Manage and file licence amendments (e.g., ownership, structural, or operational changes) in accordance with regulatory requirements
- Track licence status, renewal deadlines, and key regulatory obligations using internal systems, ensuring accurate and accessible information for stakeholders
- Maintain complete and organized licensing records, ensuring documentation meets regulatory requirements and supports ongoing business record-keeping and historical reference
- Monitor regulatory requirements and flag approval needs, ensuring the business is aware of activities requiring prior authorization
- Provide basic regulatory guidance to internal stakeholders regarding provincial requirements for liquor and cannabis retail operations
- Coordinate cross-functionally with real estate, operations, and legal teams to support efficient licensing processes and continuous improvement
- Liaise with regulatory authorities and municipalities (e.g., provincial liquor and cannabis commissions) to support licensing-related inquiries and submissions
Requirements
- 1-3 years of administrative or coordination experience, preferably in licensing, regulatory, or a related field
- Post-secondary education (college diploma or degree) in business administration, legal studies, or a related discipline is preferred
- Exposure to liquor, cannabis, or other regulated industries is considered an asset
- Familiarity with regulatory environments and government processes is an asset
- Experience working cross-functionally with internal teams and external stakeholders is preferred
- Strong interpersonal skills with the ability to build effective working relationships across all levels of the organization and with external stakeholders
- Excellent written and verbal communication skills, with attention to clarity, accuracy, and professionalism in correspondence
- Highly detail-oriented and organized, with the ability to manage documentation and track multiple licensing requirements accurately
- Strong time management and prioritization skills, with the ability to manage competing deadlines in a fast-paced environment
- Demonstrated administrative and coordination skills, with a focus on process consistency and follow-through
- Analytical and problem-solving abilities to identify gaps, track issues, and support resolution in licensing processes
- Proficiency in Microsoft Office applications (Excel, Word, Outlook); experience with tracking systems or databases is an asset
