Responsibilities
- Executive Support
- Manage complex, fast-moving calendars across multiple time zones and regional markets
- Coordinate internal and external meetings, ensuring effective scheduling, prioritisation, and preparation
- Prepare agendas, briefing notes, and presentation materials for leadership meetings and strategic discussions
- Draft and manage executive-level communications and confidential correspondence on behalf of senior leaders
- Ensure timely follow-up and tracking of actions arising from meetings and key business priorities
- Coordination & Communication
- Serve as a central coordination point between the APAC leadership team and key stakeholders across ANZ and AEM
- Support communication flow and alignment across regional functions and leadership teams
- Assist in coordinating operational reviews, leadership meetings, and strategic workshops
- Travel & Logistics
- Oversee end-to-end international travel arrangements including flights, accommodation, ground transfers, and detailed itineraries
- Manage expense reporting and executive administration accurately and in a timely manner
- Support logistics for executive visits, regional events, and key business engagements
- Project & Operational Support
- Support senior leaders in coordinating and executing strategic initiatives and regional projects
- Monitor timelines, deliverables, and follow-up actions across key priorities
- Maintain accurate records, reports, and executive documentation to a high standard
- Provide ad hoc support on presentations, research, and business reporting as required
- Confidentiality & Professional Standards
- Handle highly sensitive and commercially confidential information with absolute discretion
- Operate with professionalism, maturity, and sound judgement at all times
Requirements
- Minimum 5 years of executive assistant experience in supporting C-suite or regional leadership in a multinational environment
- Exceptional organisational and time management skills with the ability to manage competing priorities across multiple stakeholders
- Strong written and verbal communication skills with a professional and polished executive presence
- High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools
- A self-starter with a proactive mindset, keen attention to detail, and the ability to work independently with minimal supervision
- Demonstrated ability to handle sensitive matters with confidentiality and integrity
- Experience working across cross-cultural, regional teams is a strong advantage
