This role serves as a trusted partner to technology leadership, ensuring efficient management of priorities, departmental operations, communications, meetings, and strategic initiatives. Essential Functions and Responsibilities Executive Support Manage and coordinate the Vice President of Technology's calendar, including scheduling, prioritization, and meeting logistics. Coordinate travel arrangements, itineraries, and expense reporting. Prepare meeting agendas, presentations, reports, correspondence, and supporting materials. Monitor, prioritize, and respond to communications on behalf of the VP as appropriate. Track action items, deadlines, and commitments to ensure timely follow-up and completion. Technology Leadership Team Support Coordinate Technology Leadership Team meetings, including scheduling, agenda preparation, documentation, and action item tracking. Facilitate communication and collaboration Operations and Corporate Services. Assist with preparation of leadership presentations, monthly reports and executive communications. Project and Operational Support Support departmental planning activities, strategic initiatives, and special projects. Maintain organizational charts, distribution lists, team documentation, and departmental records. Assist with purchasing requests Assist with the administration and processing of technology-related invoices, vendor agreements, software renewals, and lease contracts. Coordinate approvals, maintain contract and vendor documentation, and track renewal dates. Support departmental budget administration by tracking invoices, expenses, and expenditures. Communications and Documentation Draft, edit, proofread, and format executive communications and presentations. Maintain confidential records, files, and sensitive information with a high degree of discretion. Organize and maintain digital documentation repositories, meeting records, and departmental resources. Ensure consistency and professionalism in all written communications and materials. Required Qualifications Associate degree or equivalent combination of education and experience. Minimum of five (5) years of executive administrative support experience supporting leaders or executives. Exceptional organizational, planning, and time management skills. Strong written, verbal, and interpersonal communication skills. Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. Ability to manage multiple priorities while maintaining attention to detail and accuracy. Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.

Requirements

  • Bachelor's degree.
  • Experience supporting technology, engineering, consulting, or professional services organizations.
  • Experience with procurement, vendor management, invoice processing, and contract administration.
  • Familiarity with collaboration and project management platforms such as Microsoft Teams, SharePoint, Jira, Confluence, or similar tools.
