About the role
The Employee Benefits Executive handles the end-to-end administration and servicing of group employee benefits (EB) insurance policies for our corporate clients. Responsibilities
- Policy Billing - Debit & Credit Notes

- Process credit notes promptly following mid-term adjustments, including addition or deletion of insured staff.
- Track and follow up on outstanding debit/credit notes, coordinating with finance on collections and reconciliation.
- Client Servicing - Claims & Admin Support
- Act as the primary point of contact for clients on EB inquiries, including claims submissions, reimbursements, and pre-authorisation requests.
- Liaise with insurers to resolve claim disputes, delays, or documentation issues, advocating for fair and timely settlements.
- Help clients navigate EB digital tools (member apps, insurer HR portals), providing guidance and troubleshooting.
- Escalate unresolved insurer issues to the EB Manager with a clear summary of steps taken and recommended next actions.
- Pre-fill and follow up on onboarding and renewal documentation; track policy document and e-card issuance for timely delivery.
- CRM - HubSpot
- Maintain and update client policy documents (certificates, schedules, endorsements, letters of appointment) in HubSpot with version control.
- Upload new business, renewal documentation, and insurer correspondence promptly, linking records to the correct client and policy objects.
- Staff Movement & Policy Documentation
- Liaise with insurers to process member movements and maintain accurate census listings.
- Keep policy documentation organised and accurate, with timely follow-up on endorsements.
- Prepare client summaries covering insured headcount, coverage, and outstanding changes.
Requirements
- Education & Qualifications
- Diploma or Degree in Business, Finance, Insurance, or a related field.
- General Insurance certification (BCP, PGI, or equivalent) preferred; candidates willing to obtain certification will be considered.
- 1-3 years in insurance operations, employee benefits administration, or a similar client-servicing role.
- Prior exposure to group health, life, or EB products at an insurer or brokerage is an advantage.
- Skills & Competencies
- Proficiency in CRM systems; hands-on HubSpot experience strongly preferred.
- Strong numerical literacy for billing reconciliation and premium computation.
- Excellent written and verbal communication for client and insurer correspondence.
- High attention to detail and accuracy when managing large volumes of data.
- Organised and self-driven, able to manage multiple client accounts and deadlines.
- Proficient in Microsoft Office (Excel, Word, Outlook); familiarity with insurer EB portals is a plus.
