Responsibilities
- You will support a range of functions across event management and programme / learner administration , including training courses organised by, but not limited to, Learning & Product Development (LPD) and Singapore Mediation Centre (SMC), the business units under SAL.
- 1 Event Management
- You will support the planning and execution of events, including:
- Coordinating event requirements (e.g. venue, catering, logistics), sourcing vendors, comparing quotations, and facilitating approvals and payments.
- Uploading event details into the CRM system and coordinating the publication of event information (e.g. programme, speaker profiles) on relevant platforms.
- Assisting with event registration enquiries via email or phone, and processing manual invoicing where required.
- Supporting the preparation and distribution of pre-and post-event communications (e.g. administrative instructions, feedback collection, dissemination of materials), including post-event publicity such as drafting event blurbs and collating photos for LinkedIn or other outreach platforms.
- Assisting with venue setup for internal events (e.g. seating arrangements, signage) and liaising with external venues to ensure requirements are met.
- Supporting attendance tracking through system setup or manual processes.
- Providing on-site support during events, including basic AV coordination, timekeeping, and liaison with vendors.
- 2 Programme /Learner Administration
- You will also support the administration of courses and learners, including:
- Assisting with the preparation and uploading of course materials onto the eLearning platform, including basic testing of course flow and assessments.
- Coordinating the publication and removal of courses based on schedule.
- Supporting learner enrolment, including profile creation, course assignment, and generation of e-certificates.
- Monitoring learner progress and supporting updates to course managers.
- Assisting with enquiries related to online learning.
- Maintaining records and databases for programmes and initiatives.
- Extracting reports (e.g. learner data, attendance, billing) for internal use and CRM updates.
- Monitoring system issues and flagging them to the platform provider where necessary.
- KEY SPECIFICATIONS
- Candidates should have:
- A diploma, or background in event or project management is an advantage but not required
- Experience with learning management systems or event registration platforms is an advantage
- Strong organisational skills with attention to detail; able to complete tasks accurately
- Able to complete tasks carefully and accurately
- Good written and spoken English
- Ability to work independently and as part of a team
- Flexible and willing to support administrative and operational work, including occasional extended hours for events
Additional Information
We are looking for an individual to join our team as an Events & Programme Coordinator (1-Year Contract, Renewable) . In this role, you will support event management and course/learner administration for programmes organised by Singapore Academy of Law (SAL). This is a contract position for an initial period of one year, with the possibility of renewal. The role is based onsite and reports to the Manager, Programming Ops & Events Management (POEM).
