The Administrator, Shared Services is responsible for the accurate and timely processing of financial transactions and account maintenance activities within the shared services portfolio. This role supports operational efficiency and ensures data integrity across customer accounts by collaborating with internal stakeholders including Contact Centre, Collections, Fraud, Legal, Funding, Renewals, Discharge and Finance. Transaction Processing & Account Maintenance Process financial and non-financial transactions including adjustments, payments, reversals, and account updates Perform account maintenance activities in accordance with established procedures Ensure all transactions are completed accurately and within defined service level agreements (SLAs) Operational Support Support daily operational workflows, including queue management and service request processing Generate and review system reports to identify and resolve discrepancies Respond to internal inquiries from departments such as Contact Centre, Collections, Fraud, and Finance Reconciliation & Reporting Perform account and transaction reconciliations to ensure data accuracy and completeness Investigate and resolve variances or exceptions in a timely manner Maintain tracking logs and provide reporting for operational and audit purposes Quality Control Conduct regular quality checks and audits on processed transactions and account setups Document findings and escalate discrepancies to management as required Support adherence to internal controls and risk management practices Convenience Cheque Processing Review and validate convenience cheque requests against client and account information Process cheque postings, stop payments, and related servicing requests Ensure compliance with fraud prevention and operational controls Risk & Compliance Adhere to all applicable regulatory requirements, internal policies, and procedures Ensure all activities align with organizational risk management frameworks Escalate potential risks, control gaps, or policy breaches appropriately
Requirements
- Post-secondary degree or diploma in Business, Finance, or related field
- Minimum 2 years of experience in financial services operations
- Credit card operations experience preferred
- Call centre or customer-facing financial services experience is an asset.
- Strong financial acumen with attention to detail, including knowledge of credit card operations, risk, and compliance
- Advanced analytical, problem-solving, and organizational skills, with the ability to manage multiple priorities in a fast-paced environment
- Excellent communication skills with proficiency in MS Office (Excel, Word), and a collaborative, customer-focused approach
