We are seeking a Senior Specialist, Events to join our Firm. This position will be based in our New York office. This role requires a regular on-site presence, with an expectation of daily office attendance during peak business periods. However, a hybrid schedule may be available during certain weeks, depending on workload and business needs. The Senior Specialist, Events role is responsible for planning and executing internal Firm events across the full event lifecycle, independently managing select programs and owning defined planning workstreams for complex leadership conferences and other high-profile events. Core responsibilities include scoping event requirements and budgets, sourcing and evaluating venues, negotiating, and finalizing hotel contracts in coordination with the Office of General Counsel, and managing all post-execution obligations. Plans and executes internal events across the full event lifecycle, from initial intake and concept development through onsite delivery and post-event wrap-up. Partner with internal stakeholders to define event objectives, audience, format, run of show, and logistical requirements. Manages a range of internal events varying in size and complexity, including offsite receptions, team meetings, training sessions, partner programs, and leadership conferences. Provide onsite event management support, troubleshoot issues in real time, and ensure a high-quality attendee experience. Serves as lead planner for smaller-scale events and as a key planning partner on more complex, high-profile leadership conferences and firmwide programs. Coordinates all event logistics, including venue research and selection, catering, audiovisual needs, transportation, rooming lists, registration, materials, and onsite staffing. Develop and maintain detailed project plans, timelines, and planning documents to ensure successful execution and alignment across stakeholders. Assists in the review of contracts for hotels, restaurants, and other related services for off-site events. Manages vendor relationships and coordinate with external partners to support seamless event delivery. Tracks event budgets, processes invoices, and monitors expenses to support cost-effective planning and adherence to budget parameters. Support attendee communications and event materials, including invitations, agendas, presentations, signage, briefing documents, and post-event follow-up. Collaborates with cross-functional teams, including administrative, communications, technology, facilities, and catering partners, to deliver well-executed internal programs. Conducts post-event evaluations, gathers feedback, and identifies opportunities to improve planning processes and attendee experience. Anticipates internal clients' needs and is able to represent the Firm in handling concerns and escalations related to event services. Provides guidance in the resolution of problems. Develops, maintains, and utilizes event websites such as CVENT and EMS to support internal event scheduling and communications Ensures current knowledge of Firm policies and practices, current knowledge of industry trends, and continued professional development. Participates in the interviewing, selection, and training process. Recommends and implements changes and improvements in methods and procedures to higher level management. Coordinates and oversees department projects, day-to-day operations and long-range plans. Recommends guidelines and practices to promote efficiency, effectiveness, and elevated customer service in alignment with the Firm's expectations for its internal and external clients. Develops and communicates departmental guidelines and procedures. Ensures accurate and timely responses to requests for departmental services from internal clients Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with colleagues and leadership.
