Under the direction of the Country Medical Director, this individual is responsible for supporting and securing the successful completion of medical processes, projects and events in France. The role includes performing specialized administrative and project coordination tasks, managing and coordinating processes related to vendor onboarding, contracting, compliance and financial follow-up (budget, purchase orders, invoices) within local systems, while ensuring alignment with Medical Affairs priorities. Essential Functions of the job Manage and coordinate the budget for the Medical Affairs Team, including monthly accruals Organize and coordinate medical events such as advisory boards, including logistics and coordination Support planning, coordination and execution of medical projects, congresses and internal meetings Manage and coordinate vendor onboarding in collaboration with Procurement Create and follow up contract requests with Procurement and Legal Manage execution and follow-up of contracts including signature processes Coordinate compliance approval processes for medical events and projects Create Purchase Requests in SAP and follow up Purchase Orders Manage and follow up invoice payments with Finance Ensure tracking of financial flows related to medical activities Support continuous improvement of processes (compliance, budget, vendors) Collaborate with cross-functional teams to ensure smooth execution of activities Align with other assistants and act as backup when needed
