Responsibilities

  • Calendar management: Organizing and managing the executive's schedule, including setting up meetings, appointments, and events.
  • Meeting coordination: Scheduling, preparing for, and attending meetings. This includes creating and distributing agendas, taking minutes, and following up on action items to ensure deadlines are met.
  • Travel arrangements: Booking and coordinating travel arrangements, including flights, accommodation, and ground transportation, for the executive and sometimes for visiting clients or partners.
  • Documentation and reporting: Managing, organizing, and maintaining important documents, files, and records. You may also be responsible for compiling and formatting materials for presentations or reports.
  • Project support: Assisting with various projects by gathering data and preparing reports or presentations as needed. You may also be involved in coordinating project timelines and ensuring tasks are on track.
  • Relationship management: Building and maintaining positive relationships with clients, partners, and key stakeholders.
  • Office administration: Assisting with general administrative tasks.
  • Ad hoc tasks aligned with those mentioned above.
  • WHAT WE LOOK FOR
  • Education: Bachelor's degree in Business Administration , Com munications, or a rel ated field .
  • Experience: 1-3 years of proven experience as an Executive Assistant, Executive Assistant for a C-Suite level report, or other relevant administrative support experience.
  • Language Proficiency: Strong verbal, written, and English communication skills.
  • Working schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours .
  • Technical Skills: Proficient with Microsoft Office Suite or equivalent software, with the ability to learn new or updated software.
  • Industry Specific Software/Knowledge:
  • Exposure to project management tools.
  • Someone who is highly organized, proactive, and detail-oriented
  • Ability to function well in a high-paced and, at times, stressful environment.
  • Ability to organize a daily workload by priorities.

The DCX Client Services Home-Based Executive/Virtual Assistant will be the key player in supporting the executives' day-to-day by providing executive-level administrative support and ensuring smooth operations within the organization. With a focus on multitasking and attention to detail, you will have the opportunity to work on a variety of projects and be a key member of our client's team. If you are adaptable, smart, proactive, and flexible, then this role is for you! This role will start as a 3-month contingent contract , with the possibility of being partnered with our clients in the United States. If selected by the client, the employee will then undergo a 6-month probationary period leading to a potential full-time position. This opportunity will allow you to grow your career and gain deeper insights into the industry.
