Partner with the MAO Lead to plan and execute day-to-day Medical Affairs operations and key initiatives.
Serve as a liaison between Medical Affairs and external vendors to manage the full contract lifecycle, including initiation, execution, reconciliation, and archiving.
Maintain and optimize operational systems, including collaborative platforms, shared repositories, trackers, and CRM tools (e.g., Smartsheet, SharePoint, Teams, Box).
Collaborate with IT to support the rollout, adoption, and ongoing maintenance of technology solutions critical to Medical Affairs.
Coordinate logistics for Medical Affairs training programs, workshops, onboarding activities, and internal meetings.
Partner with cross-functional stakeholders to plan and execute internal Medical Affairs conferences and field medical team meetings.
Provide logistical and operational support for medical congresses, advisory boards, and symposia.
Manage departmental operational tools, including shared calendars, project trackers, collaboration sites, and meeting coordination systems.
Schedule key meetings and maintain accurate meeting minutes and documentation.
Lead or support the development and maintenance of dashboards, presentations, and reporting materials for departmental updates and planning.
Requirements
BA/BS with 5+ years of relevant experience, preferably in Medical Affairs Operations or a related function within the pharmaceutical or biotech industry.
Working knowledge of Medical Affairs activities, including medical strategy, medical education, publications, medical congresses, investigator-initiated studies, and professional society engagement, is preferred.
Demonstrated project management experience, including proficiency with MS Office and collaboration tools, and a track record of working effectively with cross-functional teams, vendors, and external partners.
Ability to proactively identify issues, prioritize tasks, work on multiple projects and address with solutions-oriented approach.
Strong interpersonal and written communication skills; ability to flex communications (message, style) based on the audience.

Pay Range:
In the U.S., the hiring pay range for fully qualified candidates is $117,000-$136,500 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors.
