Manage complex and dynamic calendars, including scheduling internal and external meetings, prioritizing requests, and resolving conflicts.
Coordinate logistics for meetings, events, and travel (domestic and international), including accommodation, transportation, meals, and event planning details.
Prepare daily briefings, agendas, and materials to ensure executives are well prepared.
Provide flexible support for last-minute schedule changes, including occasional evening and weekend availability when business needs arise.
Communication & Stakeholder Management
Act as a primary point of contact between the executive and internal/external stakeholders.
Maintain strong relationships with senior leaders, team members, and key partners.
Operational & Strategic Support
Anticipate needs and proactively solve problems to optimize executive efficiency.
Track key initiatives, deadlines, and action items; follow up to ensure completion.
Support cross-functional coordination and communication on strategic priorities.
Meeting & Event Coordination
Plan and execute executive-level meetings, offsites, and events.
Capture notes, track decisions, and manage follow-up actions.
Ensure all materials, logistics, and participants are aligned.
Confidentiality & Discretion
Handle sensitive information with the highest level of confidentiality and professionalism.
Exercise sound judgment in managing competing priorities and confidential matters.
Administrative Operations
Manage expense reporting, budget tracking, and vendor coordination.
Maintain organized filing systems and documentation.
Providing administrative and office support, such as typing, spreadsheet creation, and maintenance of filing system and contacts database.
Continuously improve processes to enhance efficiency and effectiveness.
Critical Skills & Experience Requirements
5+ years of experience supporting multiple senior executives (VP-level or above preferred), ideally in a fast-paced, high-demand environment.
High School Diploma (Required)
College Degree preferred.
Expert level written and verbal communication, time management and organizational skills and attention to detail.
Ability to manage multiple priorities in a fast-paced environment.
High level of discretion, integrity, and professionalism.
Highly proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and collaboration tools (e.g., Teams, Slack).
Experience in a high-growth or complex, matrixed organization.
Demonstrated proactive approach to problem-solving with strong decision-making capability.
Maintain a flexible, helpful, can-do attitude with energy and enthusiasm.
A high level of self-awareness, integrity, emotional maturity and diplomacy are a must.
Familiarity with travel, expense management systems (e.g., Concur).
Must be able to work onsite at Dallas Office 5 days per week.
