Job Description: Accountabilities: General Office Duties (80%): Performs general office duties including answering phones, responding to voicemail, greeting visitors, filing documents (manually and electronically), copying, distributing materials, sending and receiving emails. Monitoring and arranging purchases for office supplies. Inputs statistical information and maintains files/statistics for The Salvation Army in SAMIS, Shopify, and other assigned software. Performs various accounting functions; coding invoices, internal transfers through TEM and Business World, documenting and making deposits, prepares and issues receipts, etc. Maintains HR electronic and hard copy files and resources. Ensures the protection of personal and sensitive date. Prepares agenda and minutes for meetings. Records and distributes incoming mail. Maintains a positive and respectful work environment. Responsible for the cleanliness of the office, including but not limited to, staff kitchen, bathrooms, boardroom, & lobby. Performs accurate data entry and maintains organized records to support operational efficiency. Supports filing systems and document control to ensure timely retrieval and secure information management. Supports communications through front-line reception duties (answering phones, responding to voicemail, greeting visitors), ensuring prompt, professional, and consistent communication. Christmas Kettle Campaign: Assists with various organizational tasks related to the preparation of the Christmas Kettle Campaign, including contacting and organizing volunteers and kettle locations, obtaining appropriate relevant paperwork from THQ, revising promotional materials related to the Campaign, and preparing kettle stands and kettle kits for the Campaign. At the direction of the Resource Manager, will assist with daily tasks during the Campaign, including setting up and taking down kettle locations, contacting kettle volunteers, refilling kettle kits with supplies, participating in the donation count room, entering documentation and timesheets for kettle staff (timekeeping). Work in compliance with OH&S Act and Regulations and abide by The Salvation Army's health and safety policies and procedures. Complies with all safety procedures as required and directed including, but not limited to, wearing of safety shoes/boots, glasses, gloves, clothing (if/as required), etc. Cleans, organizes, and keeps free from hazard all areas of the CRC as required and directed. Communicates all concerns for safety of persons/property promptly. Warehouse (20%): Processes incoming materials by scanning them into the inventory system, packing appropriately, and storing items safely and systematically to maintain the integrity of all donations. Maintains proper storage practices for food items to prevent contamination and ensure quality standards are met. Places perishable items in the cooler or freezer as required to preserve product safety. Supports the Driver with the organized loading and unloading of materials in the CRC's shipping and receiving area. Operates warehouse equipment, including pallet jacks and basic maintenance tools, in a safe and compliant manner. Willingness to drive a Salvation Army vehicle, in accordance with the Commercial Vehicle Operations Policy.
