Job Summary
The CRE Property Inspection Analyst is responsible for managing and coordinating property inspection activities across the Bank's commercial real estate loan portfolio. This role serves as the central point of contact for all inspection-related matters, ensuring the Commercial Real Estate Finance group and the Bank effectively achieve their business objectives related to the ongoing monitoring of loan collateral condition and quality.
This position focuses on inspection logistics, workflow management, and the tracking of inspection-related activities, as well as the quality control of inspection reports. In doing so, the role supports effective risk monitoring and enhances portfolio oversight of the Bank's commercial real estate loan collateral.
Job Responsibilities:
Inspection Coordination & Scheduling
Coordinate and schedule property inspections for a portfolio of commercial real estate assets based on priority, location, and vendor workload and availability.
Liaise with third-party inspection vendors, engineers, and internal and external stakeholders.
Ensure inspections are completed within required timelines (e.g., origination, annual reviews, covenant triggers).
Workflow & Process Management
Facilitate vendor onboarding processes, including documentation oversight, profile maintenance, and performance monitoring.
Track inspection requests from initiation through completion to ensure deadlines and service-level expectations are met.
Maintain inspection calendars, pipeline reports, and status dashboards.
Communicate inspection timelines and status updates to internal stakeholders and external partners.
Address questions, resolve issues, and provide timely follow-up on inspection-related matters.
Contribute to process improvements and workflow optimization.
Reporting & Quality Control
Review submitted inspection reports for completeness, accuracy, and adherence to the bank's internal standards.
Ensure all required documentation (photos, checklists, narratives) is included before distribution.
Proactively identify discrepancies, incomplete information, or potential compliance concerns, and escalate issues and follow up with vendors as warranted.
Portfolio Monitoring Support
Maintain centralized records of inspection results and history and update records as needed.
Assist Relationship Management and Portfolio Management teams by providing inspection updates.
Flag overdue inspections or emerging property condition concerns.
Monitor inspection-related KPIs and generate reports for senior management upon request.
Vendor & Stakeholder Management
Serve as primary point of contact for inspection vendors and internal stakeholders.
Manage vendor relationships, including onboarding, performance tracking, and issue resolution.
Coordinate access to properties with borrowers, property managers, and leasing contacts.
Compliance & Documentation
Ensure inspection processes comply with internal policies and regulatory requirements.
Maintain organized documentation in loan files or portfolio management systems.
Support internal/external audit requests by providing inspection-related data and records.
ADDITIONAL ACCOUNTABILITIES
Contribute to ad hoc initiatives, including special projects, system enhancements, and implementation efforts, while performing additional responsibilities as may be required. Consistently adheres to regulatory and compliance policies and standards linked to this role as outlines above and complete required compliance training. Accountable to maintain compliance with applicable federal, state and local laws and regulations.
JOB REQUIREMENTS
Required Qualifications:
Associate or bachelor's degree (preferred) in business, Real Estate, or a related field Minimum 2 years of experience in commercial real estate, loan operations, property management, or administrative coordination.
Attention to detail and ability to manage multiple tasks simultaneously in a fast-paced, deadline-driven environment.
Effective verbal and written communication skills.
Proficiency with Microsoft Office (Excel, Outlook, Word)
