Responsibilities
- Onsite and online event coordination supporting marketing and sales efforts, inclusive of sponsorships, industry conferences, webinars, presentations, meetings, and client appreciation events.
- Start to finish event and conference planning activities: Oversee all aspects of event planning and execution, including logistics, internal alignment and communications, vendor selection, sponsorship opportunities, content development, booth set up, lead generation, ensuring that everything runs smoothly.

- Manage attendee data throughout the event planning process including invitation phase, registration tracking, other pre-planning activities and post-event campaign tracking
- Provide onsite support (meeting setup, nametags, materials, packages, gift bags, registration lists, seating assignments) as required for events and conferences.
- Perform event close out activities including attendee and vendor follow up, tracking event finances (check requests, invoicing, and reporting), gathering and inputting ROI metrics into salesforce and/or marketing automation systems, and team communications.
- Oversee and track event expenditure as well as report on event progress, ensuring deadlines and budgets are met and coordinate the efforts of internal and external stakeholders.
- Conduct research and identify net new experiences and systems to help the marketing team continue to elevate the events program and streamline processes.
- Propose new ideas to improve event planning and implementation processes.
- Build and maintain strong relationships with event vendors, negotiating contracts and ensuring seamless execution.
- Provide clear, consistent, and frequent communication to stakeholders to outline strategy, tactics, and performance of campaigns
- Provide marketing collateral, giveaways and GTM resources where needed
- Support marketing campaigns including lead management, communications, social media, and email marketing
- Proactively track marketing campaigns to meet deadlines and provide regular project updates to senior marketing management
- Work closely with our internal creative and marketing team to ensure all efforts are aligned with business goals
- Execute on other directives and ad-hoc projects
- Support and execute the firm's participation in external conferences, including sponsorship activation, logistics, and on-site coordination
- Support planning and execution of internal leadership retreats and training events, including venue sourcing, agendas, and on-site support
- Produce all event-related materials, including invitations, swag items, promotional collateral, ensuring initiatives align with brand strategy
- What You'll Be Accountable For (Outcomes & Metrics):
- Manage event-specific metrics aligned to program objectives, including:
- o Contribution to Brand Development tracking and engagement metrics
- o Lead generation tracking and reporting tied to event participation and engagement outcomes
- Internal stakeholder satisfaction with events through high-quality event execution and proactive communication with segment and market leads
- Gathering post-event feedback, compiling insights, and identifying opportunities for continuous improvement across programs and experiences
- Strong attention to detail across all event deliverables, including communications, registration management, onsite experience, and reporting - with particular emphasis on the effective presentation of the Riveron brand
- Budget tracking, invoice management, and reconciliation processes to help ensure events remain within approved budgets
- Building collaborative relationships with internal teams, external vendors, and partners to support successful program delivery and positive attendee experiences
Requirements
- Bachelor's degree in Marketing or related field from an accredited university
- 3-5+ years of event management experience, ideally in a professional services environment where attendees tend to be high-ranking executives or VIPs
