We're looking for a creative, resourceful, and warm Workplace Experience Coordinator to elevate the day-to-day experience in our New York office. Our office exists because an Assembler felt strongly we should have one and moved across the country to start it (rather than a top-down mandate). This role is grounded in that same spirit of making things happen. You'll own the office end-to-end, make it a place people are excited to show up to, and partner with our People team to improve the in-person Assembled experience as we grow.
This is a full-time, in-person role based in our New York City office, on-site five days a week, Monday through Friday.
Responsibilities
Own day-to-day office operations - keep the space clean, stocked, safe, and running like clockwork
Cover front-of-house - greet visitors, handle packages and deliveries, and field day-to-day requests
Manage vendors, building management, and the office budget , partnering with Finance on contracts and invoices
Own in-office onboarding with the People team - desk setup, swag, and a great Day 1 for new hires
Plan in-office moments that build connection - team lunches, celebrations, all-hands, and customer events
Be the welcoming face of Assembled and the go-to resource for anything office-related
Coordinate interviews - schedule across phone screens, panels, and onsites, give candidates a warm point of contact, and run day-of onsite logistics
Requirements
2+ years in office management, workplace operations, or administrative support, ideally in a startup or fast-paced environment
Relentlessly detail-oriented - you notice what others miss and take pride in getting the small things right
High agency - if something's broken, you fix it; if something's missing, you solve for it before it becomes a problem
A people-first communicator - warm and professional in person, on the phone, and over Slack and email
Organized under pressure - you juggle competing priorities without dropping the ball
Budget-conscious and comfortable managing vendors and building management
Reliable in-person presence five days a week, and able to lift and move packages up to 30 lbs
