Answer incoming calls and emails professionally and efficiently
Schedule appointments and assist with forward booking
Send appointment reminders and follow-up communications
Contact clients regarding overdue services and wellness care
Client Service
Greet clients and patients in a friendly, welcoming manner
Gather and document patient information accurately
Provide exceptional customer service and maintain professionalism during difficult situations
Educate clients on hospital services, wellness plans, and preventive care recommendations
Administrative Duties
Maintain accurate client and patient records
Process payments, financing applications, and pet insurance claims
Prepare estimates and review invoices with clients
Support daily front desk operations and maintain an organized reception area
Team Support
Communicate effectively with doctors and veterinary staff
Provide discharge instructions and schedule follow-up appointments
Assist with additional administrative duties as assigned
Requirements
High school diploma or equivalent required
Previous customer service experience preferred
Veterinary or healthcare experience preferred
Strong communication, interpersonal, and organizational skills
Ability to multitask and remain efficient in a fast-paced environment
Comfortable using computer software, scheduling systems, and other technology platforms
Ability to work collaboratively with clients, doctors, and team members
Commitment to providing exceptional client service and patient care
Physical Requirements
Ability to stand for extended periods
Ability to lift up to 40 pounds independently
Ability to work in a fast-paced veterinary environment
