Provide comprehensive administrative support, including managing complex calendars, coordinating meetings, preparing agendas, and optimizing executive time. Proactively anticipate needs, resolve scheduling conflicts, and ensure seamless daily operations.
Communication & Stakeholder Partnership:
Serve as a trusted liaison between senior leaders and internal/external stakeholders. Manage and triage executive communications, including monitoring email, prioritizing key actions, drafting responses, and ensuring timely follow-up. Represent leadership with professionalism and sound judgment.
Travel, Meetings & Event Coordination:
Plan and execute detailed travel arrangements and itineraries. Coordinate meetings, leadership sessions, and events-including logistics, materials, and catering-ensuring a high-quality, organized experience.
Presentations & Document Management:
Develop and refine presentations and materials for board, leadership, customer, and departmental meetings. Maintain organized, accessible document and record-keeping systems, continuously improving processes for efficiency and usability.
Project & Operational Coordination:
Support cross-functional projects and leadership initiatives by tracking timelines, coordinating stakeholders, and ensuring deliverables are met with high quality. Maintain visibility to key priorities, deadlines, and follow-ups using collaboration tools.
Financial & Administrative Processes:
Manage executive expenses and reporting, including preparation, review, and submission of expense reports. Ensure accuracy and compliance with company policies.
Confidentiality & Team Collaboration:
Handle sensitive information with the highest level of discretion and integrity. Actively contribute to the administrative team, providing back-up support and fostering a collaborative, high-performing environment.
Required Qualifications:
High School Diploma or GED
Minimum 4 years' progressive executive administration experience as an executive assistant supporting Vice Presidents
Requirements
Bachelor's degree and advanced proficiency in Microsoft Office (Outlook, PowerPoint, Teams, SharePoint)
