Job Description: Reporting to the Conference and Events Manager within Conference Services department, the incumbent responds to a wide variety of needs on behalf of internal and external clients looking to facilitate event activity for college related activity at the Ottawa campus. The incumbent will act as a resource person during the planning and execution of identified events, conferences, and catering. The incumbent will perform some financial support services and will maintain contact with college stakeholders to ensure clear communication of event activity has been cascaded to the appropriate departments. Duties and Responsibilities: 1. Gather/identify client requirements Front line customer service: Answering phone inquiries, internet inquiries and on-site conference and/or catering requests. Maintain complete and detailed client information; Conduct site tours when required; Reviews feedback from internal clients to suggest and implement service solutions. 2. Identify scheduling availability and coordinate information with Conference Services partners Suggest suitable locations, submit requests for bookings (as needed), monitor responses and follow up as necessary; Booking audio-visual services, room set-ups, enhanced cleaning, rental items, security, etc. 3. Develop and issue quotes and contracts stating reservation details and costs Combine information provided by the Registrar's Office, Catering, and other Conference Services partners to complete client contracts, in consideration of client budget, committing the College to the provision of the contents; Follow up with issued quotes and contracts. 4. Operation and Execution Assist with internal catering and conference event execution including space set up, delivery, clean up and/or customer service when required. Required Qualifications: Minimum two (2) Year Diploma; Education within these fields considered an asset: Event Management, Business Administration, Hospitality, Meeting and Convention Management or equivalent; Minimum of two (2) years' work experience in planning, executing and evaluation of conference and/or events, experience within a post-secondary setting and catering sales experience an asset; Experience working in team environments with a demonstrated ability to build strong relationships/partnerships; Comfortable in a computerized environment, including Microsoft Office; Experience utilizing an event planning software or customer relationship management software, an asset; Excellent organizational skills, as well as planning and time management expertise; Excellent communication (verbal and written) and interpersonal skills, a thorough knowledge of communication techniques, and exceptional attention to detail. Anticipated Weekly Schedule: Typical hours of work would occur Monday to Friday for up to 24 hours a week.
