About the role
The Account Executive is responsible for running the Day-to-day operations of the Secretariat office in Singapore. This includes supporting the Council and Projects within the Asia Pacific. 1. Financial Accounts (Main role) Ensures that the accounts and reporting are timely and in compliance with the statutory rules and regulations. This includes: a. maintaining a full set of accounts and monthly report b. preparing of CPF submission, quarterly reports, annual report and budget c. developing and implementing an expense payment procedure, incorporating table of authorities. d. working with the accountant(s) and auditors during the external annual audit and ensure compliance with the rules and regulations. e. preparing of early financial forecast and trend analysis f. overseeing the financial projection for both current new projects g. leading and providing guidance and audit on biennial conference Project Management Provides leadership in maintaining current and supporting of new projects. This includes: a. providing support to various Committees and Special Interest groups as assigned by the direct supervisor (eg Membership committee, Finance committee and SIG) b. collaborating with existing partners to maintain current projects deliverables c. constantly sourcing for new projects in the various sectors d. being the main liaison person to external facing partners e. driving and supporting successful running of biennial conference, clinical attachments, Webinars and Summits Maintaining close knitted relationship with the various sectors and collaborating on new initiatives g. Membership management Others Taking on any other duties as assigned by the Executive Director to ensure smooth operations of the Secretariat 4. Job requirements Diploma or Degree in Accounting, Finance Candidates with LCCI / ACCA Level 1-2 / CAT / bookkeeping certification will be considered for finance-heavy roles. Additional certification in Project Management is an advantage Professional Experience Minimum 2-4 years of hands-on accounting experience in Singapore, preferably maintaining a full set of accounts Experience with audit preparation, CPF submissions, IR8A Experience working with accounting software (MYOB / QuickBooks / Xero). Additional experience in compliance with Charity / ROS / IRAS requirements is an advantage Preferred Experience in project coordination or project administration, ideally in a non-profit, healthcare, education or charity setting Experience supporting committees, writing minutes, liaising with partners or managing stakeholders. Technical Skills Ability to maintain full set of accounts including AP/AR, bank reconciliation, depreciation, accruals, restricted fund management. Ability to generate financial reporting (monthly, quarterly, annual) and trend analysis Familiar with Singapore compliance: *CPF, IR8A (Auto Inclusion), Childcare Leave, MINDEF claims** *Charities Accounting Standard** and **AGM audit requirements** *NCSS funding portal** & Tote Board claims (advantage) Additional Requirements Willingness to support evening webinars or occasional weekend events (with time-off-in-lieu). Ability to travel regionally for programmes (if required).
