Full-time , Fixed Term position - 12 month secondment Salary HEW 6 + 17% Superannuation and Flexible Working Arrangements Based at the Melbourne CBD campus, and hybrid ways of working The Executive Assistant to the General Counsel is a service- focused , first point of contact for people in the legal team and people who engage with the team. With a friendly, positive attitude and a willingness to get things done, the Executive Assistant will ha ve a high level of technological literacy and support the team in a wide range of administrative functions . Catering to the need o f a contemporary, dynamic team , the Executive Assistant will use their superior communication and interpersonal skills to assist the team to deliver high quality service and advice to stakeholders within RMIT in a timely and customer focused manner. You will be r esponsible for applying your general knowledge to fulfill administration and coordination duties for key personnel and be able to complete work assignments guided by policy, precedent, professional standards or managerial expertise . Other Duties Include: Support ing the review and redesign of the legal operating model, including workload allocation and project management activity and support from time to time. Managing the General Counsel diary and administrative tasks. Support ing the team (both Legal and CCI) in relation to administrative tasks. Provid ing a service-focused, professional point of contact for internal stakeholders and external parties dealing with the team . Manag ing enquiries from RMIT stakeholders, providing basic responses, and directing enquiries to the relevant staff member (including monitoring and redirecting requests from the Legal inbox). Implement ing , administer ing and maintain ing the electronic document and matter management system for the team and provid ing assistance and training to system users as required (M365, Sharepoint Workday and Xakia ) . Assist ing the General Counsel to implement and maintain efficient and effective work practices within the team , including the assistance with contract execution process es as necessary. Support ing the creation and maintenance of content for the team intranet pages, SharePoint sites and administration of updates to templates and other documents as requested. Assist ing with document formatting or manipulation ( eg , extraction, rearrangement, consolidation) as required by the team. Assist ing team members to book and arrange meetings/events, catering, travel and attendance at events as required , in accordance with RMIT policies. Process ing and manag ing purchase orders and invoices for services received by team members in accordance with RMIT policies and using RMIT systems (including Workday). Support ing the onboarding of members of the team, including contract workers and consultants. About You To be successful in this position, you'll have : Demonstrated experience working in a customer-focused team environment with a proven ability to work collaboratively with multiple stakeholders from a range of experience levels. Proven ex perience working as an Executive Assistant supporting a team and/or Senior Leaders with great attention to detail Demonstrated substantial experience working in administration and in an office environment with a proven ability to develop efficient systems and processes using contemporary technological tools. High level of computer literacy and ability to administer and maintain electronic systems and workflows (including experience with Office 365, including Sharepoint , Workday, Word and Excel) and the ability to adapt to changing technological needs and environments. Excellent oral, written, interpersonal and time management skills. Demonstrated ability to work autonomously as well as within a fast-moving team environment. Proven ability to operate with a high level of confidentiality and discretion. Positive, friendly, can-do attitude.
