Position Summary The Senior Facilities Planner is responsible for coordinating and expediting the operations of the Facilities Department with little supervision. As the primary system administrator of the Computerized Maintenance Management Systems (CMMS), the Senior Facilities Planner will ensure work orders are documented, executed, and closed with the correct data entered into the system. Essential Functions Coordinate and communicate all planned maintenance activities including ordering parts, maintaining required supplies, verifying orders and requests, managing/prioritizing work orders, resources and materials, vendor management. Ensuring that planned maintenance schedules are communicated to all customers and supporting groups. Processing and tracking facilities purchasing activities. Adhere to Safety and GMP procedures, ensure a safe work environment Serve as the primary system administrator for the CMMS. Ensure work orders are documented, executed, and closed with the correct data entered into the system by processing and inputting corrective and preventive maintenance, and calibration work orders into CMMS, as well as initiate scheduling modules, generating monthly status and metrics reports, and maintain and update parts inventory modules. Work with production scheduling and provide input on work orders based on maintenance capacity, parts inventory, scheduled projects, and maintenance resources. Track all PM/CAL/CM Work Orders and follow throughout completion. Draft planning Schedules covering routine calibration / annual PM / Other. E-mail official monthly schedules to leadership , including the annual plan for reference. Provide Monthly overdue report of work orders. Ensure all assets are setup with schedules. Maintain Asset tracking for all equipment locations within BMRAM. Facilitate regularly occurring meetings with maintenance staff, including maintenance pre- and post-meetings and tracks key metrics associated with work orders. Overlook asset inventory of non BMRAM items i.e. Scale up items. Support maintenance department staff and maintain training records. Support drafting and maintaining department Standard Operational Procedures (SOP), work plans, maintenance data templates, and drawing redlines as necessary. Process and track facilities purchasing activities. Review and approve orders for office supplies for department use. Pull data and reports from Blue Mountain RAM system to assist in the development of staff metrics. Maintain documents in VEEVA Communicate with our customers to provide updates and clarifications if necessary. Provide reports to support validation requirements and deviations. Create, edit and adhere to Standard Operating Procedures (SOPs), process improvements, and standardization of templates. Performs ad-hoc and cross-functional duties and/or projects as assigned to support business needs and provide developmental opportunities Education & Experience Bachelor's degree in Facilities Management, or a related field with 4+ year of facilities planning, maintenance or operations experience required; or High school diploma with 8+ years of experience in facilities planning, maintenance or operations required 4+ year minimum working experience of Computerized Maintenance Management Systems (CMMS) required GMP facility experience required 2+ years minimum experience working in an FDA regulated environment preferred Knowledge, Skills, & Abilities Knowledge of local, state, and federal regulations related to facilities management Proficient in various computer programs like MS Office Strong attention to detail, organizational and planning skills Ability to org
