City, State: Flushing, New York JOB TITLE: Sales Specialist REPORTS TO: Director of Sales & Marketing Purpose for the Position: To act as personal support for the Sales Department. To detail all in-coming meetings and events, provide on-site event coverage, maintain room block inventories, and qualify all in-coming sales calls. This role is the key internal communicator to all departments regarding all groups, meetings, and events. Essential Responsibilities: Performs general duties including taking meeting minutes, answering the telephone, distributing sales leads, and conducting client hotel sites. Audits Sales System for accuracy of room blocks GRC, space conflicts and space control on behalf of the department director. Handles all details of bookings after group/catering booking contract turnover occurs. Books Catering only events and handles all details of bookings and provides on-site support day-of event Ensures guaranteed counts and payments are received, which is to follow the terms and conditions of the contract. Works with clients to ensure all details regarding their group room booking or catered event are Obtained, executed, and charged properly. Obtains group rooming lists and coordinates their inventory with the front office. Communicates all changes and alterations to an event booking with the property departments. Maintains a filing system of reports and pertinent records. Participates in the planning and execution of all client events. Records and distributes internal meeting minutes in a timely matter. Physical Demands: Lifting up to 20 lbs. Maximum with frequent lifting and/or carrying of objects weighing up to 10lbs. Requires walking or standing, reaching, handling, feeling, talking, hearing, seeing. Environmental Conditions: Inside: Protection from weather conditions but not necessarily from temperature changes. Math Skills: Requires mathematical development sufficient to be able to: add, subtract, multiply, and divide all units of measure. Write business letters, summaries and reports using prescribed format and conforming to all rules of punctuation, grammar, diction, and style. Participate in discussions and debates. Speak extemporaneously on a variety of subjects.
