The Office of Livable Streets (OLS) is tasked with prioritizing strategic planning, community engagement, research, policy, design, implementation, and long-term management. The AU is seeking an Administrative Services Coordinator to support the Director of Administration, OLS, and OLS senior staff. The role includes coordinating hiring processes, managing administrative workflows, tracking budgets and procurement, and supporting day-to-day operations. This position works closely with OLS leadership and requires strong organization, attention to detail, and the ability to manage multiple priorities. Key Responsibilities: In this role, the Administrative Services Coordinator, OLS, will provide direct support to the Director of Administration, OLS, and OLS senior staff by preparing and reviewing documentation, such as purchase orders and invoices, and ensuring all paperwork is accurate and complete. The Administrative Services Coordinator will order, track, and replenish office and program supplies as needed to maintain smooth operations. They will compile documentation into comprehensive packets for submission to fiscal teams, track approvals and processing, and update programmatic records at each stage. The position requires coordinating with TPM Administration Unit, DOT internal teams, vendors, and partners to resolve issues, responding to inquiries promptly and courteously, and maintaining organized electronic and physical files. Additional responsibilities include drafting, editing, and formatting documents, presentations, and reports, performing data entry, taking meeting minutes, and following up on outstanding tasks. The Administrative Services Coordinator, OLS, will assist with onboarding new OLS staff and track IT and facilities requests. They may provide supervision to staff as required and may support budget preparation and other administrative functions as assigned.
