Act as a trusted partner to the CMAO, managing complex calendars and priorities
Coordinate high-impact internal and external meetings and events
Proactively resolve scheduling conflicts and optimize executive time
Manage domestic and international travel logistics and expense reporting
Support onboarding, vendor coordination, and team operations
Assist with budget tracking and purchase orders
Prepare and edit presentations and communications
Lead special projects and operational initiatives
Manage and assist with event planning, meetings, and all key meetings within the Medical Affairs function to ensure seamless execution and alignment
Where You'll Work
This is a hybrid role based in our San Francisco (Owens Street) office, requiring 2-3 days per week in-office.
Requirements
Bachelor's degree preferred or equivalent experience
8-12+ years of executive administrative experience supporting senior leaders
Strong business acumen and proactive problem-solving skills
Exceptional organizational and multitasking abilities
Strong communication and interpersonal skills
High level of discretion and professionalism
Advanced proficiency in Microsoft Office tools
Ability to travel occasionally as needed
Experience in life sciences, biotech or pharmaceutical industry is strongly preferred
Salary
$55 - $75 USD
