The Executive Assistant (EA) will provide high-level administrative and operational support to Executive, ensuring seamless execution of strategic priorities by managing all administrative tasks and assisting with project coordination when needed. This role requires exceptional organizational skills, discretion, and the ability to anticipate the COO's needs to enable focus on leadership and strategy. Job Accountabilities Manage the COO's calendar, schedule meetings, and coordinate logistics Handle inbox triage, draft responses, and prioritize urgent communications Prepare reports, presentations, and meeting briefs using MS Office tools File expense liquidations and manage expense tracking on behalf of the Executives Assist in project coordination and follow-up on deliverables when required Maintain accurate records and ensure timely completion of administrative tasks Support operational processes by liaising with internal teams and stakeholders Organize domestic and international travel arrangements, including itineraries and accommodations Coordinate executive events, offsites, and high-level meetings Handle sensitive documents and information with utmost confidentiality Ensure compliance with company policies and regulatory requirements Act as a professional liaison between Executives and internal/external stakeholders Facilitate smooth communication across functional teams, senior leadership and project teams Ensure adherence to regulatory requirements and company policies Complete all mandatory regulatory and company training programs and performs other functions as may be assigned Qualification: Bachelor's degree in Business Administration Calendar and Scheduling Tools (Microsoft Outlook, Teams, or similar platforms) Expense Management Systems (e.g., Coupa or equivalent) Document Management Systems (SharePoint or similar) Basic Project Management Tools (e.g., MS Project, Trello, Asana) Minimum of 5 years of experience in underwriting and claims, with a focus on medical insurance.
