Pay Range: $20.91 - $27.19 Scheduled Weekly Hours: 40 Position Overview Responsible for full oversight of the correspondence team, including training, staff assignment, coaching, meeting established productivity, KPI and trend reporting. Directly supports departmental leadership in projects, initiatives, and other duties that contribute to the success of the correspondence team. Responsible for timely and compliant completion of all incoming correspondence for Capital Health, including requests from patients, guarantors, attorney offices, payers and any other third parties requesting hospital and/or professional billing information. MINIMUM REQUIREMENTS Education: High School Diploma or Equivalency. Experience: Three year' previous experience of business office functions. Understanding of HIPAA regulations and PHI requirements required. Other Credentials: Knowledge and Skills: Detailed knowledge of business office functions and supporting applications. Special Training: Proficient skills in Word, Excel and email required. Mental, Behavioral and Emotional Abilities: Ability to work alone or as a team member showing positive outcomes in specific timeframes. ESSENTIAL FUNCTIONS Oversight of correspondence team responsibilities, goals, reporting, and initiatives. Train and coach correspondence staff as needed for successful completion of tasks. Suggests process improvements to departmental leadership based on correspondence workflow, applications, KPIs and trends, where relevant and necessary. Directly supports departmental leadership in initiatives, implementations, and other project-based goals. Provides and maintains necessary reporting to departmental leadership and recommends next steps based on results. Sets standards, assignments, and organizes tasks for the correspondence staff. Responds and processes all correspondence requests from various methods and sources - including paper mail, electronic communications, website, fax, telephone email, etc. from patients, guarantors, attorney offices, payers and third parties. Accounts for, reviews, scans, and files all correspondence and if needed routes the correspondence to the correct department/employee Documents clear and concise notes regarding correspondence work in relevant software applications. Adheres to HIPAA regulations by maintaining the confidentiality of protected health information. Escalates all priority correspondence to management for immediate next steps. Communicates effectively and consistently with other departments such as Patient Access, Utilization Management, Health Information Management, Denials, etc. for relevant correspondence such as authorizations, appeal letters, and audits to ensure high priority requests are tracked and addressed by the responsible parties. Responsible for assigned work lists and expected to meet established productivity numbers. Follows organizational policies pertaining to the retrieval, storage and destruction of correspondence. Prioritizes tasks and manages workloads in an organized manner. Operates computer software efficiently to complete required tasks. Performs other duties as assigned and adapts to changing departmental demands.
