Oversee all day-to-day office operations, ensuring a fully functional, clean, and professional environment. Manage office opening/closing procedures and daily readiness. Maintain meeting rooms, common areas, and reception space. Ensure office supplies and equipment are stocked and maintained.
Front-of-House & Client Experience:
Serve as the primary point of contact for employees, visitors, and clients. Deliver a welcoming, polished, and professional experience. Manage visitor registration and support meetings and executive visits.
Facilities & Vendor Management:
Act as liaison with building management and service providers. Coordinate vendors including cleaning, maintenance, and IT/AV. Track work orders and ensure timely resolution of issues.
Administrative & Operational Support:
Manage office purchasing, expense tracking, and budgets. Maintain SOPs and documentation. Support leadership with administrative and project coordination tasks.
Workplace Experience & Events:
Ensure seamless execution of meetings and events. Maintain a guest-ready environment. Support workplace culture and engagement initiatives. Partner with local food providers to deliver catering and food service for meetings and events.
Autonomy & Site Ownership:
Independently manage all office functions. Prioritize competing demands and respond to operational needs. Act as on-site decision-maker and implement improvements.
Requirements
4-7+ years of experience in office management, workplace experience, or facilities.
Experience working independently preferred. Strong knowledge of vendor management and office operations.
Preferences:
Background in private equity or financial related firms/ environment
With executive management background (manages VIPs/ top tier clients and visitors)
