About the role
This is a senior EA role reporting into our VP, Strategy, Programs & Enablement, a fast-moving, high-impact leader at the centre of ANZ's business strategy, people programs, and enablement agenda. This role will support the aforementioned VP, as well as the leader driving our Alliance & Channels business. This isn't a role for someone who needs a detailed brief before they act. It's for someone who reads a room instantly, builds trust quickly, moves at pace, and thrives in the complexity of a matrixed global organisation. You'll be the extension of the VP across a large extended team across multiple departments and roles. Success will mean building relationships and connecting authentically with all of them. Responsibilities
- You'll be the connective tissue between the VP and everything around him, his team, stakeholders, customers, and the broader Salesforce organisation. The success of this partnership will be a direct reflection of the trust, speed, and judgement you bring every day .
- Core Responsibilities
- Manage day-to-day scheduling in a way that keeps the executive organised, productive, and focused on his highest-impact priorities, often making calls on competing priorities without needing to ask.
- Coordinate internal and external meetings including team meetings, all-hands, off-sites, one-on-ones, customer meetings, and cross-functional sessions across time zones (particularly APAC and US working hours).
- Proactively manage calendar priorities aligned to ANZ business rhythms, fiscal calendars, release cycles, customer commitments, Dreamforce, and local events such as World Tour Sydney.
- Book appropriate domestic and international travel within Salesforce's travel policy, including trans-Tasman (AU/NZ), APAC regional, and global travel, managing visas, costs, and documentation.
- Navigate complex, matrixed organisations with confidence, building strong relationships across ANZ, APAC, and global teams, and recognising key stakeholders at all levels.
- Act as a true extension of the VP, connecting with a wide range of personalities, from high-energy sales leaders to analytically-driven strategists, and knowing instinctively how to work with each.
- Assist with event logistics, team offsites, luncheons, and business-related functions.
- Support project coordination across strategy and enablement programs as needed.
- Other administrative and project duties as required.
Requirements
- Must be located in Sydney, Australia and willing to work on a hybrid basis (3 days/week in office).
- Minimum 5+ years of relevant administrative experience, ideally within a global technology or software organisation.
- Exceptional interpersonal skills, a warm, confident communicator who builds relationships fast and earns trust at every level.
- Proven ability to operate at speed in a dynamic environment, someone who doesn't wait to be told, anticipates needs, and acts decisively.
- Experience coordinating across APAC time zones including New Zealand, Singapore, Japan, and US time zones.
- Experience setting up and managing virtual meeting platforms such as Zoom, Google Meet, and Webex.
- Strong relationship management skills with the ability to flex communication style across diverse personalities and working styles.
- Project coordination experience at an intermediate level of complexity.
- Strong verbal and written communication; confident engaging with senior leaders and external partners.
- Working proficiency in Google Workspace (Gmail, Docs, Drive, Google Meet). Experience with Quip, Slack, Salesforce, and Tableau is a plus.
