We currently have an exciting opportunity for an Office Services Assistant to join our Darwin Facilities and Office Services (FOS) team on a permanent, full-time basis.
Responsibilities
This is a varied and hands-on role which will see you assist with the daily operations of the Darwin office. Your main duties will include, but are not limited to:
Daily Tasks
Prepare the office for the day.
Replenish office and catering supplies.
Perform routine maintenance of coffee machines and dishwashers.
General Daily/Weekly Tasks:
Provide accurate, timely document services - photocopying, digital printing, scanning, binding and laminating.
Coordinate incoming and outgoing mail, cost recoveries, courier quotes and bookings; e-Fax requests; complete scheduled internal mail rounds.
Record and recover costs for print, copy, postage and courier services against client matters.
Monitor, replenish and organise stationery, office consumables and print-fleet supplies; arrange maintenance with vendors.
Action and close requests logged via the FOS Helpdesk.
Maintain a clean, safe and well-organised work area; observe all Health & Safety requirements.
Coordinate and support facilities-related tasks such as maintenance, security, staff movement requests, and manual handling. Office desk setups & relocations.
Ensure contractors sign in correctly using the Rapid Contractor Management System and provide tenancy access as required.
Requirements
To be successful in this role, you will have:
Higher School Certificate or equivalent;
12 months experience in a similar administration position (highly desired)
Strong oral and written communication skills;
The ability to manage a high volume of work and pick up new tasks quickly;
Excellent attention to detail;
Proficiency with Microsoft Outlook, Word and Excel as well as Adobe Acrobat functionality; and
A polished and professional approach, aligned to a corporate law firm environment.
You will also be a positive, proactive, friendly individual with a desire to provide exceptional customer service. Please note that this role has a physical element and manual handling will be required in this role.

The Facilities and Office Services group is part of our Operations Department at Clayton Utz. The services provided by this group varies between offices but includes copying and printing, mailroom, records and archives, and stationery.
