Pay Range: $25.29-$34.58 Hourly The City of Arvada is seeking a detail-oriented and service-driven Administrative Court Clerk to support the Municipal Court and serve as a key point of contact for members of the public throughout the court process. This role plays an important part in ensuring accurate court records, smooth court operations, and respectful, professional interactions with the community. As an Administrative Court Clerk, you will provide customer service to a wide range of community members, support courtroom and docket operations, maintain case and financial records, and help ensure court orders are properly documented and followed. This position requires strong organizational skills, attention to detail, and the ability to communicate clearly and calmly in a fast-paced and sensitive environment. Essential Job Functions Provides customer service assistance to internal and external customers; answers inquiries and provides service in person and by telephone; manages irate customers utilizing excellent listening and communication skills. Researches alternative sentencing and treatment options with an aim of creating more appropriate and effective court outcomes. Processes incoming summonses; creates case files and files in appropriate docket dates; closes case files and complies with state archive guidelines. Tracks court ordered classes, counseling, and related orders. Issues, distributes, and clears warrants, maintains database records, and schedules court appearances with defendants, attorneys, and interpreters as necessary. Supports docket processes, including court check-in, clerical support to the Judge in courtroom and swearing in witnesses and jurors as needed. Reviews files received from courtroom to ensure proper entries of the court's orders have been made in the computer and properly recorded on notices to defendant. Maintains juror records and summons jurors, as necessary. Assists in the Preparation of appeal case files for district court according to district court guidelines. Reviews open cases to confirm compliance with court sentences and conditions. Makes payment arrangements, collects payments, maintains, and reconciles case financial records in database. Reconciles and prepares reports on daily receipts, credit card transactions, bond account and petty cash. Prepares and calculates monies required for jury trials. Travels to and attends team and organizational meetings, training, events and activities and appropriately and professionally represents the department. Other Job Functions Performs other duties as assigned. Knowledge Skills and Abilities Basic knowledge and experience in all facets of office administrative practices including word processing, data entry, spreadsheets, and filing. Basic knowledge of court proceedings and related processes. Basic knowledge of bookkeeping practices. Excellent organizational, multi-tasking, detail-orientation and time management skills. Ability to effectively communicate information, both verbally and in writing, to support organizational objectives and interact with all levels of personnel within the city in a positive and cooperative manner. Knowledge Skills Abilities Preferred License & Certification Education Degree High School/GED Education Major Education Required Yes Work Experience Related Three (3) years of customer service and clerical experience. Work Experience Preferred One (1) year experience in a court clerk environment highly desirable. Other Qualifications Must obtain and maintain a Criminal Justice Information Services (CJIS) Certification. Must pass a criminal background check and a driving record check, if required by the position. Physical Demands Minimal physical effort typically found in clerical work. Primarily sedentary, may occasionally lift and carry light objects. Walking and/or standing as needed and minimal. Hazards Minimal exposure to hazards are typically found in general office environment where there is rarely to no exposure to injury or accident.
