Pay Range: $19.32 - $24.13 Scheduled Weekly Hours: 40 Position Overview Safeguards and protects patients' rights to privacy and ensures all hospital and Capital Health Medical Group (CHMG) record requests and releases are in compliance with hospital policy, HIPAA, state and federal regulations. Supports daily ROI operations by verifying authorization validity, retrieving electronic or paper records, maintaining strict confidentiality and facilitating accurate and timely responses. Using multiple EMR's, processes requests for release of information from patients, providers, legal entities, insurance companies, government agencies, and other authorized. MINIMUM REQUIREMENTS Education: High School Diploma or equivalent. Knowledge of all state and federal release of information regulatory requirements. RHIT or RHIA preferred. Experience: One year' previous experience in release of information preferred. Other Credentials: Knowledge and Skills: Knowledge of ROI related state and federal regulatory requirements. Special Training: Knowledge of Microsoft Office Suite. Bi-lingual preferred. Mental, Behavioral and Emotional Abilities: Ability to work in environment using multiple EMR systems. Ability to work alone or as a team member. Ability to adapt to changing priorities and meet required turnaround times. ESSENTIAL FUNCTIONS Validates requestor identity and verify the authority of record requests, subpoenas, and consent forms. Validates requests for records and ensuring that accurate records are released as requested and adheres to minimum necessary standard. Processes requests for medical records with a high level of accuracy, adherence to required turnaround times and delivering excellent customer service. Exhibits critical thinking skills and the ability to make sound judgement calls Gathers patient record information from several EMR systems to fulfill record requests and generate invoices when applicable in accordance with HIPAA, state and federal standards. Prioritizes continuity of care record requests and communicates with other medical facilities and Capital Health departments to assure that information is received as soon as possible by requesting facility or department within Capital Health. Sorts and prioritizes mail. Disseminates records through approved methods by providing records via certified USPS mail or FedEx, secure electronic delivery according to policy. Logs requests for medical records into the Release of Information tracking system. Attach copies of request letters into the tracking system and scan requests into the ROI tab in patient charts. Utilizes hospital faxing automation tools whenever possible to reduce the risk of dialing errors as well as ensure the use of a fax cover sheet with every fax transmission. Escalates any missing, incomplete, or incorrectly indexed medical record documents to management for resolution. Supports Risk Management and Legal teams to ensure medical record requests are fulfilled accurately and timely. Maintains current knowledge of regulatory requirements related to ROI. Meets or exceeds departmental accuracy and productivity standards. Fosters teamwork and collaboration. Performs other duties as needed.
