Provide administrative support to project leadership, field personnel, subcontractors, vendors, and visitors in a professional and timely manner.
Prepare, organize, distribute, and maintain project correspondence, reports, logs, and other jobsite documentation.
Maintain accurate filing systems and document control processes for project records, drawings, submittals, and related materials.
Coordinate communication between the field office, project team, corporate departments, clients, subcontractors, and suppliers.
Assist with onboarding documentation, badging, orientation records, and other project compliance requirements for field personnel.
Support weekly payroll and timekeeping processes by collecting, reviewing, and submitting field time information accurately and on schedule.
Process purchase orders, invoices, delivery tickets, expense documentation, and other project-related administrative records.
Schedule meetings, coordinate logistics, prepare materials, and distribute communications and meeting documentation as needed.
Maintain office supply inventory and help ensure the field office operates efficiently on a day-to-day basis.
Assist project leadership with job cost support, reporting, closeout documentation, and special assignments as needed.
Handle confidential and sensitive information with discretion and professionalism.
Requirements
High school diploma or GED required; additional coursework or degree in business, administration, or a related field is preferred.
Prior administrative experience in construction, engineering, or a project-based environment preferred.
Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
Excellent written and verbal communication skills and a strong customer service mindset.
Ability to maintain confidentiality and work effectively with individuals at all levels of the organization.
Must be dependable, detail-oriented, and able to work independently with limited supervision.
