5+ years of experience in office administration or office management within a large corporate environment
2-3 years of experience in a team lead or office manager capacity
Ability to effectively supervise and develop a team of 4-5 direct reports (Receptionists, Administrative Assistants)
High School diploma or equivalent required, Two ‑ year Diploma or Vocational program in Business Administration, Facilities Management, or a related field preferred
Proven experience working collaboratively with internal teams and external vendors
Proficiency in Microsoft Office Suite; experience with workplace or facilities management systems such as iOffice
Strong organizational, communication, and presentation skills
Broad working knowledge of corporate facilities operations and administrative workflows
Working Conditions:
Ability to perform regular office floor walks and occasional light lifting
Comfortable working on ‑ site, 5 days per week in an office ‑ based environment

Essential Responsibilities:
Provides guidance to the Office Services team, providing direction of daily activities and allocation of workload, in addition to coaching and mentorship of team members to ensure a high level of customer service to the organization
Collaborates with the Corporate Facilities team to ensure alignment of office services and facilities management and assists in the delivery of a consistent and positive employee experience
Performs and supports space planning initiatives and office moves, including gathering and analyzing of occupancy and utilization data
Coordinates and supports with communicating office moves including scheduling, stakeholder engagement and vendor coordination
Liaises with Landlord property management team to address issues related to security and access, maintenance, cleaning, construction and office moves
Develops strong relationships with service providers to ensure quality and responsiveness in service delivery
Manages relationships with vendors and suppliers to maintain optimum service levels on behalf of the organization
Reviews and negotiates service vendor contracts as required
Creates and maintains CMS (Core Management System) processes and procedures and manuals for the admin team and reception desk
