Job Description Summary The Assistant Director of Finance supports the Director of Finance in managing the hotel's financial operations, ensuring accurate reporting, compliance, and effective internal controls. This role plays a key part in financial analysis, process improvement, and team leadership while helping drive profitability and operational excellence. Job Description Operational/Functional Support oversight of accounts receivable, accounts payable, payroll, general cashier, income audit and receiving functions. Understand and manage all daily accounting activities for completion, including day-to-day operations and assignments of accounting staff. Plan and organize work, communicate goals, schedule/assign work to ensure all accounting standards are maintained. Perform constructive and consistent feedback along with annual reviews. Alert management of potentially serious issues. (Fill in during vacancies or PTO) Conduct monthly accounting meetings (distribute minutes), daily stand-up and become an active participant in other departmental meetings. Perform monthly balance sheet reconciliations Assist in the performance of month-end closing. Input and reconcile all income for closing. Prepare reports, verify trial balance, and run financial statements for management review. To include taking/auditing inventories Analyze financial results and assist with variance reporting versus budget and forecast Partner with department leaders to provide insight into financial performance Assist in month-end financial commentary Assist with audit preparation, documentation, and response to auditor requests. Prepare reports for labor meetings and support/train other departments labor scheduling system. Assist the Director of Finance and with preparation of the budget, strategic plan, and goals. Help implement and maintain accounting procedures and internal controls. Maintain contract/COI files and trace system of expirations. Monitor purchasing and procurement compliance and review corporate purchasing reports. Conduct union payroll reviews and assist/handle payroll processing Help in training other departments; to include but not limited to: EPRO (purchasing) ShiftForce (labor) ADP (payroll) Participate in meetings in absence of Director of Finance Strategy and Planning Promote teamwork and quality service through daily communication, strategic partnership and coordination with other departments. Key departmental contacts include Catering, Sales, Reservations and Front Office, Housekeeping and Engineering. Identify opportunities for process improvements and operational efficiencies. Interact with outside contacts: Guests - to resolve billing disputes and answer questions; to provide service to accounts. Regulatory agencies - to ensure compliance with governmental regulations and contractual agreements as needed; to coordinate external audits. May ensure other accounting staff members are properly trained and have the tools and equipment needed to effectively carry out their job functions.
