Process and administer student-related matters, including Leave of Absence (LOA) and Short Leave of Absence (SLOA) applications, in accordance with University policies and procedures.
Monitor and follow up on student cases relating to academic warning, termination, withdrawal, special needs, and students who are missing in action, and provide administrative support and advice on academic matters.
Support the planning and execution of undergraduate and postgraduate outreach, recruitment, and student engagement activities, including Open House, Tea Parties, school visits, Science Discovery Camp, Convocation, and related events.
Coordinate event logistics and administration, including registration, communications, venue setup, stakeholder liaison, catering, and operational support to ensure smooth event delivery.
Coordinate undergraduate admissions and scholarship interview processes, including interview scheduling, preparation of interview materials, communication with applicants and faculty, and maintenance of interview records.
Provide administrative support for Final Year Project (FYP) assessments and presentations, including coordination of logistics, venue setup, IT support, thesis and Turnitin report archival, and tabulation of faculty supervision and assessment hours.
Administer academic programme activities, including the Accelerated Poly Pathway Programme (APP), course registration, fee collection, certificate issuance, and examination administration for undergraduate and postgraduate programmes.
Maintain accurate student, programme, and examination records, and ensure compliance with University regulations, policies, and timelines.
Requirements
Bachelor's degree from a recognised university; fresh graduates are welcome to apply. Candidates with a Polytechnic diploma and relevant working experience may also be considered.
Knowledge of academic administration processes within a higher education environment, student lifecycle management, programme administration, and event coordination. Familiarity with Microsoft Office applications and database systems is preferred.
Preferably 2-4 years of relevant administrative experience in higher education, student services, admissions, or programme administration.
Strong organisational, coordination, and multitasking skills, with the ability to manage competing priorities and deadlines effectively.
Excellent interpersonal, communication, and stakeholder management skills.
Good analytical and problem-solving abilities, with proficiency in Microsoft Office applications.
Meticulous, detail-oriented, and service-oriented, with a strong commitment to student experience.
Adaptable and able to work both independently and collaboratively in a team environment.
Professional, proactive, resourceful, and able to exercise initiative in a fast-paced environment.
