Joining Swift's Corporate Secretariat as a Legal Entity Management Assistant is an opportunity to work in this important domain and contribute to governance and compliance activities with exposure to senior stakeholders. The Legal Entity Management Office is responsible for coordinating the different aspects of the management of the Swift group of entities, ensuring compliance with local corporate laws, and maintaining the Regional Office Manual. Every year, depending on the local entity structure, the LEM Office will, amongst other things, organise the Board/Annual General Meetings, and prepare the relevant minutes. The team also handles issuing/revoking signatory powers, filing corporate documentation and reporting to the local authorities as required. You will support the governance, compliance, and day‑to‑day corporate administration of a portfolio of Swift group companies across multiple jurisdictions by: Coordinating routine corporate housekeeping activities across multiple jurisdictions Maintaining statutory records and policies Assisting with board and shareholder processes Supporting company lifecycle and compliance reporting activities
Responsibilities
- Provide, fairly independently, with well-defined guidelines and policies, specialist support to internal and external customers about legal and governance services and tools.
- Execute several supporting legal and governance activities, mainly on Public Affairs, Compliance, Regulatory Affairs, Board and Oversight matters within fixed guidelines and policies.
- Organize and maintain the documentation of the Legal and Compliance department and/or its own areas of expertise.
- Provide requirements for the development and enhancement of tools and solutions for supporting the Legal and Governance services.
- Demonstrate awareness of policies, processes and procedures and suggest improvements where appropriate.
- Develop and maintain contacts with key internal and external stakeholders (e.g. management, counsels, internal and external customers/suppliers/lawyers/public administrations/Regulators/etc...).
- Acquire and maintain operational and business knowledge to support customers at best.
- Participate in projects within own area by executing part of projects. May at some point manage small projects.
- Identify and describe risks, and support risk activities.
Requirements
- University degree or higher education degree in business administration, law, or a related field, and typically 3-4 years of relevant work experience.
- Familiar with paralegal activities, corporate governance processes, and compliance or assurance activities in general. Ability to follow established processes and contribute to their continuous improvement.
- Experience with corporate governance‑related matters and corporate law in general.
- Strong analytical skills. Proficiency in reporting tools and Office tools is a plus.
- Ability to manage assigned tasks, coordinate inputs, and work independently within a defined scope.
- Good business acumen. Knowledge of financial markets and/or Swift's business, products and organisation is a plus.
- Reliable, proactive and accurate.
- Take responsibility for the timely and accurate delivery of assigned responsibilities.
- Fluent in English, both verbally and in writing; other languages are an asset.
- Strong interpersonal and communication skills, both verbal and written.
- Motivated, engaged, delivery‑minded, and eager to develop expertise in corporate governance.
