Respond to a high volume of phone, email, and in-person inquiries while maintaining professionalism and customer service standards. Route inquiries, applications, and communications based on established division workflows and procedures. Exercise judgment in directing inquiries to appropriate staff, divisions, or agencies. Assist applicants with navigating online portals, forms, and document submission processes. Assist with inspection scheduling coordination and communication between staff, contractors, and the public as needed. Coordinate records retrieval and assist with processing GRAMA requests in accordance with established procedures. Maintain electronic records and documentation within specialized permitting and records management systems. Coordinate with internal departments regarding permit routing, application status, and workflow processes. Assist with tracking division-related applications, records, and workflow activity. Maintain confidentiality when handling sensitive records, information, and communications. Operate effectively in a fast-paced public service environment while maintaining organization, accuracy, and attention to detail. Assist with updating and maintaining Building Division webpage content and public-facing informational materials. Review public-facing documents and materials for accessibility and formatting standards in accordance with established guidelines and procedures. What are the minimum requirements? Provo City will honor equivalent combinations of job-related education and experience. High School Diploma or equivalent (GED). Two (2) years of clerical and/or administrative support experience. Specific experience using specialized computers or software packages may be required. A valid, lawful Driver license may be required. Occasional evening work. What is the selection process? Applications will be reviewed in the order they are submitted, with the first screening being held on June 15, 2026. Applicants must meet the minimum qualifications listed above to be eligible for consideration. If selected for hire, candidate will be required to successfully pass a drug screen and criminal background check. Non-disclosure may result in dismissal.
