Document and Data Management : Coordinate and maintain accurate records for leased and owned properties, including lease documents, management agreements, and associated materials. Oversee document protocols such as file storage, scanning, and mail distribution.
Lease Review and Compliance : Review, abstract, and audit lease documents to ensure accurate, up-to-date information across systems. Monitor compliance with lease provisions and manage critical lease dates, including rent commencements and year-end reconciliations.
Financial Oversight: Review invoices and reconcile charges (e.g., CAM, insurance, real estate taxes) against lease terms. Collect supporting documentation, confirm calculation accuracy, and ensure timely processing of monthly rent payments. Perform Desktop Lease Audits.
Reporting and Analysis : Manage and distribute monthly reports, track financial obligations and transaction pipelines, and assist with budgeting and expense analysis.
Legal and Administrative Coordination : Facilitate landlord requests for Estoppels and SNDAs in coordination with the Office of General Counsel (OGC). Maintain updated building contact lists, emergency information, parking assignments, and purchase order logs.
Team Collaboration : Work closely with the Real Estate Operations Team to support lease-related tasks and ensure smooth operations in a fast-paced environment.
Stretch Role : Assist with special projects related to lease administration and facilities management initiatives. i.e, Work order management process overhaul.
Lease registration and collection of documentation, validation of documentation, and submission to NYC (community colleges) or NYS Office of the Comptroller (senior colleges) for approval.

Requirements
Must be a CUNY student
Enrolled in a CUNY college with at least 45 credits towards a Bachelor's degree
Good knowledge of FASB and GASB accounting standards.
Previous experience with real estate development proformas and lease negotiations.
Advanced proficiency in Excel.
Experience in prioritizing projects, meeting deadlines, and initiating follow-through with meticulous attention to detail and high-level accuracy both individually and in a team setting.
Exceptional interpersonal skills and the ability to maintain working relationships with staff, partner
agencies, colleges, and all other internal and external partners with the utmost professionalism.
