We are actively seeking a Office Manager . The role will report directly to the
VP, Rimini Street Malaysia GCC . This position is based in our Selangor corporate office.
Position Summary
The Office Manager is responsible for ensuring the smooth and efficient operation of the office. This role involves managing administrative tasks, coordinating office procedures, and providing support to staff to optimize workplace efficiency and effectiveness.
Essential Duties & Responsibilities
Office Operations Management:
Oversee daily office operations to ensure organizational effectiveness and efficiency.
Maintain office systems, including filing, supply inventory, and equipment maintenance.
Organize and coordinate office layout to ensure a safe, clean, and productive workspace.
Maintain and update employee records and office policies.
Address and resolve employee inquiries regarding office policies and procedures.
Administrative Support:
Manage schedules, meetings, and appointments for executives or teams.
Handle correspondence, phone calls, and emails.
Prepare reports, presentations, and other documentation as needed.
Onboarding activities:
Assist in onboarding new employees, including organizing orientation and training sessions specially for big groups of new hires.
Distribute meal vouchers / send meal vouchers to employees' home.
Financial Administration:
Monitor and track office budgets, expenses, and accounts payable/receivable.
Manage vendor relationships and negotiate contracts for office supplies and services.
Event Planning & Coordination:
Plan and coordinate internal events, meetings, and team-building activities.
Oversee travel arrangements and accommodations for staff or visiting clients.
Compliance and Safety:
Ensure compliance with company policies and legal regulations.
Oversee health and safety procedures, conducting regular checks to maintain standards.
Education & Experience
Bachelor's degree in business administration, Management, or a related field (preferred).
Proven experience as an Office Manager, Administrative Manager, or similar role at least for 2 years.
