Responsibilities
- Office Administration & Training Operations :
- Provide end-to-end administrative support for the department, including office management, meeting coordination, scheduling, and maintenance of contact lists.
- Oversee office supply ordering, inventory management, and equipment upkeep to ensure smooth daily operations.
- Organise and coordinate meetings, events, travel arrangements, and logistics for Directors and senior management. Submit and reconcile expense claims, ensuring timely invoice processing.

- Provide secretarial/ EA support and project & logistics coordination for training programmes, large meetings, initiatives, and other ad hoc assignments as required.

- Fixed Assets Procurement & IT Asset Management:
- Independently manage department fixed assets, including premises, equipment, and IT assets.
- Act as the IG point of contact for asset-related matters, including preventive maintenance and repair coordination.
- Maintain accurate asset registers and ensure compliance with internal asset management policies, including physical access security, computer asset controls, and data/asset registries.
- Track and support departmental IT asset expenses, collate invoices, and monitor cost utilisation for budgeting and financial tracking purposes.
- Raise and manage Purchase Requisitions (PRs) and Purchase Orders (POs) via PEMS.
- Handle administrative aspects of risk culture and compliance requirements e.g. call list exercise, fire drill, BCM etc.
- Staff Coordination & Group Support:
- Coordinate onboarding and offboarding processes for new and departing staff.
- Support staff training coordination and maintain departmental organisational charts.
- Provide administrative support across all IG pillars/departments as required.
