Program Management and Portfolio Visibility (Primary):
Maintain the team's initiative portfolio, including kanban-style tracking, 90-day plans, and detailed project plans to ensure work is sequenced, visible, and executable.
Proactively identify risks, dependencies, and slippage across initiatives, escalating issues and surfacing options to keep execution moving.
Support initiative owners during high-capacity periods by flexing across domains to stabilize plans, drive follow-through, and close gaps in execution hygiene.
Documentation and Execution Artifacts
Create and maintain high-quality documentation that enables scalability and clean transitions, including policies, procedures, playbooks, and handoff packets.
Ensure artifacts are consistently organized, versioned, and ready for BAU owners and cross-functional partners to consume.
Meeting Orchestration and Follow-Through
Schedule and coordinate working sessions and stakeholder touchpoints, including agendas, pre-reads, note capture, decision logging, and action tracking.
Maintain clear records of next steps, owners, and timelines to reduce ambiguity and ensure accountability across initiatives.
Leadership-Ready Communication
Build concise, executive-ready updates (slides, one-pagers, status narratives) that communicate progress, risks, decisions needed, and next steps.
Provide enhanced visibility into what the team is working on and where executive support is required
Continuous Improvement and Operating Discipline Adoption
Help implement consistent operating discipline standards across the team, improving repeatability, reducing ad hoc work, and strengthening execution stability.
What are we looking for?
Requirements
3+ years of experience in program management, business operations, strategy execution, consulting, or analytical roles requiring disciplined delivery and stakeholder coordination.
Core Competencies:
Project management skills, including building executable plans, tracking milestones, and managing dependencies.
Attention to detail with follow-through, organization, and ability to manage multiple workstreams concurrently.
Written and verbal communication skills, including ability to produce clear, concise, leadership-ready materials (PowerPoint, executive summaries).
Preferences:
Experience in financial services and familiarity with advisor affiliation models, operations, or cross-functional execution.
Experience creating or maintaining policies, procedures, and operational playbooks to enable scalable execution and transitions.
Pay Range:
$79,310.00 - $132,252.00
