This role has the general responsibility to perform administrative duties and provide executive assistance to the OU Comex Head and the OU Finance Head. This includes coordinating both their agendas, core interventions including managing the key interfaces within their wider organization
Responsibilities
Coordinates and facilitates calendar to arrange appointments, meetings, and conferences, ensures efficient link from admin point of view, between the Heads and other MEA LT or Functional LT members
Attends specific meetings and reports on proceedings
Reads and screens incoming correspondence and reports, creating management reports, makes preliminary assessment of the importance of materials and organizes documents
Performs a variety of administrative and executive support tasks which may be highly confidential and sensitive.
Makes domestic and foreign travel arrangements, prepares and compiles travel and maintains all travel records plus expense management.
Planning and coordinating senior level meetings and communication
Translate and coordinate internal communications
Compliant and efficient use of company systems and applications (travel, procurement, expenses etc.)
Resolving daily issues within an ever-changing environment through immediate actions
Assisting the Heads on business related issues
Workplace Solutions / Administration related to procurement activities (Purchase Order, Contracting)
Candidate Profile:
1 -3 years of Executive Assistant experience in multinational companies
Excellent communication skills
Having Can-do attitude
Being confident, proactive, passionate and creative
Trustworthy (keeping confidentiality)
Having client-oriented perspective
Analytical thinking, excellent prioritising & time management skills
Being able to work independently
Advanced level of English (both spoken and written) and PC Skills
